Content Migration vs Self Migration

We offer two paths to migrate your content from your old site: Content Migration and Self Migration.

Content Migration is our 'turnkey' service. We assign a dedicated Content Manager to do the heavy lifting, moving your existing pages and documents (from 300 to over 3,000 pages) so your team can focus on strategy rather than moving.

Self Migration is the 'hands-on' approach. Your team takes full control of moving and auditing content at your own pace, supported by our comprehensive Smart Sites Tour and role-based training modules.

  • Standard website pages with:

    • Text-based content
    • Standalone images
    • PDF files
    • Links to external content
    • Photo pages/galleries/slideshows 
    • Teacher webpages
    • Blogs
    • Internal forms/surveys
    • Broken links
    • Password protected pages
    • .zip files/folders
    • Content existing outside the main district platform
    • Embedded images with text
    • Staff directories and calendars (these are set up separately, ask your IM about this)

    These will be noted on the Non-Transferrable Content (NTC) document.

What to Expect: Content Migration

    • Create a site map with our Template to help you organize your new site's content
    • Determine what content to migrate and what not to migrate
    • Questions? Your Content Manager will help answer any questions along the way!
    • A finalized sitemap is the signal for our team to start moving your content. Please use the provided template to organize your pages, and notify your project manager once it's complete to kick off the next phase..
  • Preparing for Your New Site

    While our team is hard at work moving your content, there are two key ways you can help ensure a smooth transition:

    Manage Current Site Changes
    To ensure your new site is as up-to-date as possible, we recommend avoiding major updates to your current website during the migration. If a change is necessary, please document the update so you can easily replicate it on your new Smart Site once we finish.

    Level Up Your Skills
    Use this time to "hit the ground running!" We encourage you to explore our training resources and get comfortable with the platform. When your migration is complete, you’ll be ready to jump right in and start customizing.

  • Once the migration is complete, our team will notify you so you can begin exploring your new Smart Sites environment.

    Designing Your Homepages
    Now it’s time to make the site your own! Your homepages are ready for your creative input. While our team handles the data migration, designing and setting up your homepages is a task for your local team to ensure they perfectly reflect your school’s unique identity.

    Reviewing Non-Transferable Content
    Some items (like specific interactive widgets or legacy files) may not be compatible with the new platform. Please review your Non-Transferable Content document to identify these items and download any assets you wish to save or recreate manually.

Plan Your Self Migration

Migrating to Smart Sites is the perfect opportunity to simplify your navigation and improve accessibility. Follow this overview to move your content effectively and create a platform that empowers your school community.

  • Target Audience, key links, avoid copying “old site” directly

  • Required links, State mandated pages

  • Review pages, remove duplicates, ADA Compliance Check

  • Download images and PDFs using tools like "DownThemAll" and save them in clearly named folders

Best Practices For Self Migration

To ensure your site remains professional and accessible, follow these simple guidelines.

  • Paste as Plain Text

    When moving text, right-click and select Paste without formatting to keep the design clean.
  • Use Descriptive Links

    Write clear, meaningful link text so users know exactly where it will take them.
  • Prioritize Accessibility

    Design with all users in mind by using readable text, strong contrast, and clear structure.
  • Lead With The Goal

    Start with the purpose of the page so users can quickly understand what to do next.
